Responsibilities
Within the delegated authority and under the supervision of UNHCR Armenia Representative, the UNV Executive Support Assistant will ensure effective and efficient functioning of the executive support function, full confidentiality in all aspects of assignment, maintenance of protocol procedures, management of information flow and follow-up on deadlines and commitments made. The UNV Executive Support Assistant will ensure the achievement of the following results:
- Arrangement of internal and external meetings
- Assistance in informal translation and interpretation
- Drafting of correspondence, documents and reports, some of which of highly confidential nature
- Receiving and screening of all incoming calls and ongoing mail/ e-mail correspondence; maintaining proper follow-up and filing system
- Assistance in preparation of visit and mission programmes and briefings, talking points and other materials
- Maintenance of the Representative’s calendar and contacts with high-ranking visitors
- Arrangement of appointments and meetings, acting as an interpreter when required and/ or taking minutes
- Preparation of high-quality briefing materials for supervisor for appointments, meetings, missions
- Maintenance of rosters of high-level partners, telephone lists
- Preparation of correspondence, directives, comments on behalf of Representative for his/ her signature and making follow-up when required
- Follow up on circulation files and assignments made by the Representative
- Facilitation of information sharing with UN Country Team and the UN Resident Coordinator’s Office
- Follow up on deadlines and commitments made, take actions and coordinate collection and submission of reports prepared for the Representative
- Ensure facilitation of knowledge building
- Perform any other related tasks as may be required or assigned by the supervisor
Required Qualifications
Required experience:
- 3 years of experience in secretarial, administrative, programme experience is required at the national or international level
- Computer literacy and experience in the usage of computers and office software packages (MS Word, Excel, Outlook, etc.), experience in handling of web-based management systems; familiarity with database management; and office technology equipment
- Bachelor’s degree in a relevant field
- Excellent interpersonal and communication skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners
- Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel
- Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines
- Sound security awareness
- Excellent oral and written skills in Armenian and English; excellent drafting, formulation, and reporting skills
- Accuracy and professionalism in document production and editing
